The Supplier's Perspective

Premier, export-certified manufacturers receive dozens of casual inquiries daily. Vague messages such as "Hello, send me your catalog and best price for 500 units" are immediately categorized as amateur or spam inquiries and routed to junior trainees or ignored. To command priority attention and competitive pricing from top-tier factories, buyers must present a structured, professional Request for Quotation (RFQ).

Why a Professional RFQ Matters

A high-quality RFQ accomplishes three critical objectives:

  • Filters Unqualified Factories: Factories that cannot meet your technical tolerances or compliance standards will decline to quote, saving weeks of wasted negotiations.
  • Prevents Price Creep: By locking down materials, packaging, and testing standards upfront, the factory cannot later increase prices claiming that "custom packaging was not factored into our initial estimate."
  • Establishes Buyer Authority: Demonstrates that you are a serious, knowledgeable commercial buyer who understands production economics and Incoterms.

7 Core Components of an Industrial RFQ

1. Product Specifications & Bill of Materials (BOM)

State technical dimensions, primary and secondary materials, surface finishing, and electrical or chemical tolerances. Include 2D CAD engineering drawings (.PDF) and 3D step files (.STP) where applicable. Never rely on informal text descriptions for critical physical components.

2. Quantity Tiers for Pricing Comparison

Request quotations across multiple realistic volume tiers (e.g. Trial Run / MOQ, 1 FCL Container, and Annual Contract). This enables you to understand the factory's economies of scale and marginal production costs.

3. Specified Delivery Incoterm & Named Port

Specify the delivery basis you require, such as FOB Cat Lai, Vietnam or FOB Ningbo, China under Incoterms 2020 rules. Without a specified Incoterm, suppliers will default to whatever delivery term makes their unit price look artificially low.

4. Packaging, Palletization, and Barcoding Standards

Detail inner packaging (polybags, bubble wrap, custom printed gift boxes), carton burst strength (double-wall 5-ply corrugated), maximum master carton gross weight (e.g. max 15 kg for ergonomic handling), and wooden pallet requirements (ISPM-15 heat-treated).

5. Quality Control Standards & Acceptance Criteria

Explicitly announce that pre-shipment inspection will be performed by an accredited third-party agency (e.g. SGS or QIMA) using ISO 2859-1 (ANSI/ASQ Z1.4) AQL Level II standards (typically Critical: 0, Major: 2.5, Minor: 4.0).

6. Required Regulatory Certifications

List non-negotiable legal certifications required in your destination market, such as FDA Food Contact Notification, CE/EMC, RoHS, UL/ETL, Phytosanitary Certificates, or USDA Organic.

7. Timeline & Bid Submission Deadline

Provide a clear deadline for responses (typically 7 to 10 business days) and target dates for sample sign-off, purchase order issuance, and production completion.

How to Evaluate Received RFQs

When quotes arrive, review not just the numbers, but the quality of the response:

  • Did the factory address every specification in your RFQ, or did they reply with a generic stock catalog?
  • Did their engineering team ask intelligent technical clarification questions regarding your tolerances or finishing?
  • Did they clearly state validity periods for their quotation (e.g. "Price valid for 30 days based on prevailing stainless steel commodity index")?

Once you have received multiple RFQ responses, normalize their numbers using our analytical guides:
